Under general supervision, performs duties related to general accounting support. This position will report to the Manager, Operation Services.

Essential Functions
This job description reflects management’s assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned.


• Prepares daily cash deposit.

• Scans and images all COD checks received in the office to JPM.

• Scans all regular checks received in the office to JPM.

• Reconciles and posts the VIP GL Auto Posting and process and posts the corresponding upload file to SAP.

• Prepares the Daily Cash SAP Journal Entry and uploads to SAP.

• Files the daily deposit reports and invoice register.


• Uploads the daily Credit Compliance On/Off Report into VIP.

• Performs A/R balancing reconciliation.

• Processes Union Medical and Pension Payment Requests.

• Reconciles and prepares the monthly payment request for all union dues remittances.

• Sends monthly billbacks via email to the Winery and other Non-Gallo Suppliers.

• Researches and resolves all open billbacks with the Winery and other Non-Gallo Suppliers.

• Responsible for processing the State of NJ Division of ABC tax payments and other fees.

• Sends to Winery Corporate Accounting all ABC payment and fee information.

• Ensures that the Quarterly Sales Tax filing is prepared by the Winery and payment is sent to the State of NJ.

• Prepares and submits annual UEZ and ST4 tax exemption forms for filing with the State of NJ.

• Responsible for applying or renewing vehicle fleet transit stickers.

• Partners with the Winery on vehicle insurance coverages for current and new vehicles.

• Responsible for processing and managing fleet insurance and insurance card distribution.

• Responsible for renewal of all applicable State of NJ permits.

• Enters A/R refund checks in VIP for processing as needed.

• Responsible for entering and recording all Supplier Sample Request Forms into monthly tracker file.

• Responsible for processing Spoiled Wine Replacement.

• Responsible for NJ State Beverage Tax calculation and payment.

• Responsible for processing and entering all RIP adjustments and management of RIP shared email box.

• Codes and assigns for approval all Accounts Payable invoices in Ariba and partners with the local management as well as Winery Accounts Payable Department when needed.

• Partners with Kelly Services to verify, code and assign all Kelly Services temporary labor invoices for approval.

• Scans and emails all AP vendor invoices received to the Winery Accounts Payable Department.

• Processes all new vendor setup requests.

• Creates and submits payment requests as needed.

• Reconciles monthly bank statements.

• Ensures that all vendor certificate of insurances are received and up to date and partners with the Winery Insurance Department for any additional requests.

• Enters and maintains VIP Accounts Payable vendor master file.

• Orders and maintains all office supplies

• Reviews the monthly EZPASS statement for accuracy and order any new or replacement EZPASS tags as needed.

• Responsible for preparing and printing all RIP checks.

• Responsible for separating the monthly RIP checks and their preparation for mailing.

• Responsible for researching and resolving all RIP inquiries.

• Responsible for the issuance of RIP statements as needed.

• Responsible for ordering RIP check supplies.

• Maintains satisfactory attendance, to include timeliness.

• Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.

Minimum Qualifications

• High school diploma or State-issued equivalency plus 4 years Accounting experience reflecting increasing levels of responsibility; OR a Bachelor’s degree.

• Candidates are required to complete a credit check for this position; the result do not automatically disqualify a candidate from employment, but will be individually evaluated to determine if the results disqualify the candidate for employment in such a position.

• Skilled in the use of MS Word and Excel at the intermediate level.

• Ability to draft business communications and correspondence.

• Good communication and organization skills.

• Ability to work under pressure, meet aggressive deadlines and make sound decisions.

• Ability to use discretion when dealing with confidential information.

• Experience reading and comprehending simple instructions, correspondence, and memos. Experience writing simple correspondence and procedures.

• Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals.



Preferred Qualifications

• Bachelor's Degree in Accounting, Finance, Economics, Statistics, or Mathematics plus 2 years Accounting experience reflecting increasing levels of responsibility.

• Experience effectively presenting information and responding to questions in one-on-one and small group situations.

• Skilled in 10-key by touch.

• Applies common sense to carry out instructions furnished in written, oral, or diagram form. Experience dealing with problems involving several concrete variables in standardized situations.
