SUMMARY

Under general supervision performs administrative assignments in support of the Department Manager.

 

ESSENTIAL FUNCTIONS

  • Prepares a variety of sales and non-technical correspondence. Types reports, letters, internal documents, or other items from available records, drafts, or special instructions.
  • Establishes and maintains files to ensure immediate retrieval upon request.
  • Performs administrative assistance work relieving the manager or managers from operating details.
  • Prepares spreadsheets and graphs illustrating report data.
  • Opens, date stamps and distributes incoming mail. Receives phone calls, supplying information requested or directing to the proper party.
  • Performs other duties and special projects that will relieve superior of details pertaining to the position.
  • Provides guidance to part-time administrative help when necessary.
  • Practices safe work habits and, if accountable for others, ensures their understanding and compliance of such habits.
  • Maintain satisfactory attendance, to include timeliness.
  • Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.

MINIMUM QUALIFICATIONS

  • High school diploma or GED from an accredited institution. 
  • Prior administrative assistance or office experience.
  • Knowledge of standard office practices and procedures including excellent grammar, spelling and composition skills.
  • Skilled at typing 50 words per minute.
  • Experience operating standard office equipment.
  • Skilled in the use of Microsoft Office applications.
  • Valid Driver's License and successful completion of background check. Required to obtain a CA Driver's License or appropriate state driver's license within 30 days of hire. 
  • No more than 2 moving violations within the past 3 years and no DUI/DWI convictions within the past 5 years. 
  • Experienced in reading and comprehending simple instructions, correspondence, and memos.
  • Experienced in writing simple correspondence and procedures.
  • Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals.

 

PREFERRED QUALIFICATIONS

  • Associate’s degree.
  • 2 years administrative assistant experience.
  • Strong verbal, written, organizational, and interpersonal skills.
  • Professional telephone etiquette.
  • Skilled at managing multiple projects simultaneously.
  • Demonstrated leadership aptitude.
  • Good communication skills; sticks to point.
  • Good problem-solving skills.
  • Good time management skills.
  • Good organization skills.
  • Demonstrated teamwork experience.
