Under limited supervision and on own initiative performs administrative assignments in support of the department. Acts as focal point for department and responds to requests on a wide range of topics.



  • Organizes and prepares a variety of sales and non-technical correspondence. 
  • Compiles content and prepares PowerPoint decks.
  • Gathers and compiles data and assists in the preparation of simple statistical and narrative reports.
  • Runs reports on a routine basis and distributes as necessary.
  • Plans events, including assisting with large department celebrations, team off-sites, internal events, meetings, department parties and after hours events, etc.
  • Processes invoices, purchase orders, and other business transactions.
  • Assists in planning and implementing various projects around the office.
  • Processes incoming and outgoing mail/correspondence. Prepares special mailings and close-out packages.
  • Answers phones, routes calls appropriately, manages email correspondence, and greets visitors in a professional, courteous manner.
  • Books travel arrangements and manages business related expense reimbursements.
  • Establishes and maintains files to ensure immediate retrieval upon request. 
  • Resolves routine and complex department related inquiries.
  • Provides back-up support for other administrative personnel.
  • Maintains calendar of activities, events and meetings.
  • Orders office supplies; ensures that supplies are organized and readily available.
  • Performs other duties and special projects that will relieve superiors of details pertaining to the position.
  • Practices safe work habits.
  • Maintains satisfactory attendance, to include timeliness.
  • Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations.

  • High school diploma or State-issued equivalency certificate.
  • 2 years prior administrative assistant or office experience.
  • Experience operating standard office equipment to include personal computer.
  • Strong knowledge of Microsoft Office (Word, Excel, PowerPoint).
  • Experience producing high quality reports, presentations and other documents.
  • Experience assembling, compiling, analyzing and summarizing data.
  • Experienced in reading and comprehending simple instructions, correspondence, and memos.
  • Strong verbal, written, organizational, and interpersonal skills.
  • Skilled at typing 50 words per minute.
  • Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals. 
  • Ability to use discretion when dealing with confidential information.
  • Candidates for this position must have a valid driver’s license and a safe driving record. Required to obtain a California driver’s license or appropriate state driver’s license within 30 days of hire.



  • Associate’s degree.
  • 4 years administrative assistant experience reflecting increasing levels of responsibility.
  • Skilled in the use of Publisher, Photoshop, and Illustrator / or In Design.
  • Ability to handle ambiguity in a fast-paced environment with multiple concurrent tasks and changing priorities.
  • Ability to maintain flexibility and quickly address changing priorities.
  • Ability to work comfortably with people at all levels of the organization.
  • Highly organized, detail oriented and demonstrates a high degree of accuracy.
  • Establishes, maintains, and fosters a positive and harmonious working relationships with those contacted in the course of work.
